How to choose a caterer for your wedding or event

When planning an event, one of the most important elements to consider is the food. Whether you’re hosting a wedding, corporate gathering, birthday party, or any special occasion, hiring a professional caterer can elevate your event and leave your guests satisfied. However, booking a caterer involves more than just choosing a menu. To ensure everything runs smoothly, there are several key factors to keep in mind.
1. Know Your Event’s Needs: Before you even start looking for a caterer, take time to define the details of your event:
  • Event Size and Type: How many guests are you expecting? Is it a casual gathering or a formal celebration? The size and tone of your event will dictate the type of catering services you’ll need.
  • Budget: Establish your budget early. Catering can be a large portion of your event costs, and knowing what you can afford will help narrow down your options. In Greenville the most budget-friendly full-service catering will start at $20 a person. Most weddings and receptions spend $35-$60 a person, although you can certainly go higher. 
  • Food Style: Think about the kind of meal service you want. Do you prefer a sit-down dinner, buffet, food stations, or passed appetizers? The style you choose will affect the catering company you hire and the type of menu they will provide. 
  • Full-Service: Remember, all caterers at our venues are required to be full-service, that means they will provide all the serving equipment and staff to serve your meal. They will also need to clear tables, handle any dessert service, and clean up after themselves. 
2. Research Caterers: Once you’ve established your event’s needs, start researching caterers in your area. Look for companies with experience in the type of event you're hosting. Consider these factors when choosing:
  • Specialization: Some caterers specialize in weddings, while others might focus on backyard barbecues or intimate parties. Make sure the caterer you choose is experienced with your specific type of gathering.
  • Tasting: A reputable caterer will offer a tasting session so you can sample their food before committing. This is an opportunity to test the quality of the food, presentation, and service. Most caterers will charge a tasting fee if you haven't already booked, but that fee will be credited back to you if you book. Tastings are very time consuming, so you'll want to have a clear direction of the menu you want before scheduling one. 
  • Flexibility: Does the caterer accommodate special dietary needs or requests (vegetarian, gluten-free, vegan, etc.)? Make sure they can customize the menu to meet the dietary preferences of your guests.
3. Review the Menu Options: When it comes to catering, the menu is everything. Discuss with your caterer what options are available, and ask if they offer package deals or à la carte pricing. Here are some things to consider when reviewing the menu:
  • Seasonality: Opt for seasonal ingredients, as they tend to be fresher and more affordable. Ask your caterer for suggestions based on the time of year.
  • Guest Preferences: Are your guests picky eaters or food adventurers? Make sure the menu offers something for everyone, and be mindful of common allergens (peanuts, dairy, etc.).
  • Portion Sizes: You don’t want your guests to leave hungry, but you also don’t want to over-order and waste food. Your caterer should help you calculate portions based on the number of guests.
4. Understand the Logistics: Catering is about more than just food; it’s about ensuring everything runs smoothly during your event. Consider the logistics of serving food at your venue and how your caterer will manage it:
  • Delivery and Setup: Clarify how early the caterer will arrive to set up. Ensure they understand you want full-service catering. 
  • Staffing: Ask how many servers they will provide and if they’re experienced in your type of event. Make sure the staff is capable of handling the number of guests and that they have the right training for formal or casual settings. For seated dinners, you'll generally want 1 server for every 15-20 guests. If you have a buffet, you'll need 1 buffet attendant for every 3-4 dishes. If you are doing stations, you'll also want to make sure they have adequate chefs for any manned station.
  • Equipment: Will the caterer supply their own serving dishes, utensils, linens, and decor? Ask about any additional kitchen equipment they may need. 
  • China: Most of our clients rent one of our china packages. If the caterer is offering to rent through them, make sure you are comparing the entire costs, as often there are hefty delivery charges. All rented china & flatware must be delivered during your venue open time and must be removed that night immediately after the event. If the caterer is renting for you, also ask who is going to set the tables and make sure they have enough time to do it. It takes about 20 seconds to set each item at a place setting. If you rent through us, we take care of setting your tables. 
5. Clarify the Costs: Understanding the total cost of catering can be tricky. Aside from the basic menu pricing, there may be additional charges for staffing, rentals, or travel fees. Be sure to ask the caterer about:
  • Hidden Fees: Are there any additional costs for service, taxes, or gratuity? Clarify whether the price includes everything or if there are extra fees that might pop up closer to the event.
  • Deposit and Payment Schedule: Most caterers will require a deposit when you book, with the balance due closer to the event date. Make sure you understand the payment schedule and cancellation policies.
6. Confirm Dietary Restrictions: Ensuring that all your guests have something to eat is crucial. Whether they’re vegetarian, vegan, gluten-free, or have allergies to certain foods, your caterer should be able to accommodate dietary restrictions. Be sure to:
  • Ask About Customization: Can the caterer modify dishes for specific diets? Are there options available for guests with allergies?
  • Labeling: If your event involves a buffet or food stations, consider having clear labels for different types of dishes so guests can easily identify what they can eat.
7. Get Everything in Writing: When you've chosen your caterer and agreed on the menu and logistics, make sure you get a detailed contract. This document should outline everything, including:
  • The agreed-upon menu
  • Staffing details
  • Delivery and setup times
  • Total cost, including taxes and service charges
  • Payment deadlines and cancellation policies
Having everything in writing ensures that you and the caterer are on the same page and helps avoid misunderstandings as the event approaches.
8. Follow Up Before the Event: A few weeks before your Final Details Meeting with us, touch base with the caterer to review the details. Confirm the number of guests, the menu, the timing, and any last-minute changes. This will give both of you peace of mind and help ensure that everything goes as planned on the big day. We'll also need to know what tables they may need from us.
